About Executive Assistant or Secretary (Business Division)

Job description

  • Bachelor’s degree or above (BBA, HR or equivalent)
  • 5-Day work week
  • Good opportunity of entry to high management level
  • Multi-tasking and detailed-minded
  • Need to short stay/travel to Mainland China, Vietnam and other countries.

Responsibilities

  • Provide full spectrum of executive secretarial support to the Business Director
  • Schedule the appointments and support meeting arrangement, including managing schedules, securing venues, preparing meeting agendas, coordinating meeting participants (internal and external), and managing meeting reminder as needed. Follow up with meeting minutes where appropriate.
  • Assist in preparation of presentation materials, reports, internal and external communications.
  • Assist in ad hoc management projects and assignments as requested.

Job requirements

  • Degree holder of Business Administration, Human Resources or equivalent.
  • 5-6 years relevant experience in full spectrum of secretarial and HR and Admin support.
  • Previous experience in serving senior management is highly preferred.
  • Detail-oriented, cheerful, self-initiative with good interpersonal skill.
  • Familiar with MS Office including Word, Excel, PowerPoint, Outlook etc.
  • Strong business sense, strong data analytical skills.
  • Proficient in communication of spoken and written English.
  • Communication of spoken and written Japanese will be an advantage.
